UNE Life Events & Catering | Hire Equipment | House Policy

UNE Life Events & Catering

Availability

• UNE Life Events & Catering is available Monday to Friday.
• We are also available on weekends, with the following surcharges:
  • Saturday: 15%
  • Sunday: 30%
  • Public Holiday: 30%

Offsite Catering

• Offsite catering may incur a delivery fee, which will be specified in your quotation.

Service & Set Up Fee

• All events will incur a Service & Set Up fee, which covers staff, post-event cleaning, cutlery & crockery , napkins (where applicable), tablecloths, and glassware (plastic depending on venue).
• Additional theming and styling options are available upon request.

Booking Notice

• Event bookings must be made at least 7 business days in advance to ensure availability and sufficient time for quotation and approval.
• Catering bookings must be made at least 5 business days in advance.
  • A Late Booking Fee of 20% will apply to catering bookings made with less than 2 business days’ notice.

Minimum Requirements

• A minimum of 10 people is required for any catering booking.
• Special dietary requirements must be communicated at least 5 business days prior to your event.

Quotation Approval

• All quotes must be reviewed and accepted within 48 hours of receipt.
• Bookings are confirmed only upon written approval (via email) of the quotation and Terms & Conditions. Until confirmation is received, all bookings are pending.

Changes & Cancellations

• Changes to confirmed bookings must be made at least 3 business days in advance.
  • A 50% charge will apply for changes made with less than 3 business days’ notice.
  • A 100% charge will apply for changes made with less than 48 hours’ notice.

Payments

• Invoices must be paid prior to your event or catering booking.
• Any additional charges will be communicated and must be settled within 7 days of the invoice date.

Liability & Damages

• The client is financially responsible for any loss or damage to property, fixtures, or fittings caused by guests, agents, or contractors.
• You will be invoiced for any necessary repairs or replacements.
• Additional cleaning fees may be charged at the discretion of UNE Life Events & Catering.

Catering Equipment

• Please ensure all catering equipment is left tidy for collection. Any damage or loss will be invoiced accordingly.

Room Bookings

• It is your responsibility to book a room through the UNE website. UNE Life Events & Catering cannot make room bookings on your behalf.
  • For Community Members – Please request a room here
  • For Staff Members – Please request a room here

Minimum Spend & Venue Fees

• Some UNE Life venues may have minimum spending requirements and service/setup fees, which will be detailed in your quotation.

Hire Equipment

Delivery of Equipment

• The hirer is responsible for collecting and returning the equipment unless delivery and pick-up by UNE Life have been previously arranged.
• Delivery is considered complete when the equipment is placed on the vehicle or with a carrier for transport from UNE Life’s pick-up location to the hirer’s specified location.
• The hirer must inspect the equipment upon pick-up. Any concerns must be reported to UNE Life at the time of inspection. If no concerns are reported at the time of pick-up, the equipment will be deemed correct and in good working order.

Return of Equipment

• The hirer must return the equipment at the end of the term at their expense to the specified UNE Life premises unless a pick-up by UNE Life has been previously arranged.
• The equipment must be returned clean and in the same condition as when received, subject to reasonable wear and tear.

Pre-Payment, Equipment Fee, Late Fee, and Cancellation Fee

• The hirer agrees to pay the equipment fee before delivery or pick-up.
• If the hirer fails to return the equipment at the end of the term, they are liable for additional fees at the full daily rental rate for each day the equipment is not returned (the Late Fee).
• If the hirer cancels the hire within 48 hours of the start of the term, a cancellation fee will apply.

Use of Equipment The hirer agrees to:

• Use the equipment only for its intended purpose and during the specified times and dates.
• Not lend, sublet, or otherwise dispose of the equipment.
• Not modify, disassemble, make any additions to, or repair the equipment.
• Keep the equipment in good condition.
• Not to use the equipment near water or in conditions that could damage it (e.g., rain, excessive heat or cold).
• Notify UNE Life immediately by phone and in writing if:
  • The equipment is lost or damaged.
  • The equipment cannot be returned by the end of the term.

Risk, Liability, Indemnity, and Insurance

• The hirer assumes all risk for the equipment from delivery until its return to UNE Life.
• The hirer accepts full responsibility for any loss or damage to the equipment due to negligence or improper usage during the term.
• The hirer indemnifies UNE Life for any loss or damage to the equipment, including costs of repair or replacement and any related legal fees.
• If deemed suitable, the hirer will take out and maintain insurance policies to cover UNE Life for the cost of repairing or replacing the equipment if it is damaged, lost, stolen, or destroyed during the term.

Repossession

• UNE Life may repossess the equipment if the hirer breaches any provision of this agreement.

Title to the Equipment

• The hirer acknowledges that UNE Life retains title to the equipment and that the hirer possesses the equipment as a mere bailee.
• The hirer must not:
  • Pledge UNE Life’s credit in connection with the equipment.
  • Attempt, offer, or purport to sell, assign, sub-let, lend, pledge, register any security interest, mortgage, or otherwise deal with the equipment.

Termination

• UNE Life may terminate this agreement without notice if extraordinary or unusual circumstances warrant such action.
• UNE Life may also terminate this agreement and repossess the equipment at any time for breach of any term of this agreement.

Notices

• Notices under this agreement must be given in writing and can be served by personal delivery or email. A notice is deemed received on the date of delivery (if by personal delivery) or when the sender receives a confirmation of the email being received.

Entire Agreement

• This agreement constitutes the entire agreement between the parties regarding its subject matter and supersedes all prior understandings or agreements.

Governing Law

• This agreement is governed by the laws of New South Wales. Each party submits to the exclusive jurisdiction of the courts of New South Wales.

UNE Life House Policy

This venue is committed to providing a controlled, safe, and secure environment in line with the principles of Responsible Service of Alcohol (RSA).

Our goal is to ensure a safe and comfortable space for everyone’s enjoyment.

Code of Conduct

• Management reserves the right to refuse entry or remove anyone who does not respect our venues, staff, or policies.
• Anti-social behaviour will not be tolerated.

Legal Compliance

This venue recognises that it is against the law to:

• Serve any person to intoxication.
• Serve or supply alcohol to any person under the age of 18.
• Allow intoxicated, disruptive, or violent behaviour to occur on premises.
• Serve alcohol in a manner that could result in harm to patrons.

Student Preference

• On nights when The ‘Stro is reaching capacity, management reserves the right to give students preference of entry over non-students.

To ensure adherence to the above this venue has adopted the following policies:

1. This venue offers a range of drinks including low alcoholic and non-alcoholic drinks
2. This venue will not serve more than 1 nip (30 ml) in a glass
3. This venue will not serve “shots”
4. This venue will supply free drinking water
5. This venue will not serve or allow the provision of alcohol to patrons under the age of 18
6. This venue will recognise the signs of intoxication and will refuse service to any intoxicated person and will ask them to leave
7. This venue will not admit, service, supply, or allow the supply of alcohol to anyone who appears intoxicated
8. This venue will discourage people from harming themselves or others
9. This venue will not permit intoxication, fighting, abusive or obscene language or suggestions, unwelcome advances or physical contact directed at customers or staff
10. This venue will remove any unattended drinks.
11. If a staff member feels that a person is becoming intoxicated, they will be asked to leave
12. If a staff member feels that a patron has become intoxicated, they will be asked to leave
13. If such a patron fails to leave, the Police will be called, and the patron may be fined
14. If a patron is excluded, by law they are to stay more than 50 meters away from the premises. The patron cannot return to the venue for at least 24 hours.
